behavioral lifecycle workflows built for telehealth providers
WellCadenced builds lifecycle email, SMS, and referral programs for healthcare companies, telehealth providers, aesthetic studios, and medical spas.
Health is personal. The messaging journey for your patient should be, too.
Sound familiar?
You’re spending thousands a month to acquire patients. If they abandon your intake flow, they get one generic email and then silence — except maybe a sale blast months later.
Your dispute rate is climbing, patients churn after the second refill, and your inbox is full of “where’s my order?” They don’t know what to expect when their medication arrives, when the next refill ships, or what the side effects mean.
They took a break. Maybe for cost, maybe for side effects, maybe life got in the way. But you have no re-engagement system, so that pause becomes permanent.
The fix
WellCadenced builds email and SMS programs around the moments that matter. Intake recovery, onboarding sequences, titration check-ins, refill reminders, side-effect education, provider nudges, and win-back campaigns. Patients stay on track, your LTV rises, and your support team gets some relief.
Every system is built in Customer.io, triggered by real patient behavior, and measured with conservative attribution model
What we build
Every system is built on Customer.io, with GrowSurf for referral programs and Bask for treatment-platform integration. Designed around clinical milestones, measured with conservative attribution.
Welcome through maintenance. Every stage of the patient journey, automated and personalized.
Precision-timed reminders around refill windows, renewals, and re-authorization deadlines.
Behavioral triggers that detect at-risk patients and intervene before they cancel.
High-touch SMS for check-ins and time-sensitive refill nudges alongside your email cadence.
Re-engage lapsed patients with messaging that addresses the real reasons they paused.
Full platform setup, data architecture, event taxonomy, and Liquid logic built right the first time.
End-to-end referral programs on GrowSurf + Customer.io — from reward structure and webhook wiring to lifecycle emails on both sides.
Goal-based attribution with conservative measurement windows that undercount rather than overstate — so the numbers you report are a floor, not a ceiling.
Results
Two GLP-1 telehealth brands. Built and now run referral programs on GrowSurf + Customer.io. 2,639 successful referrals at a $103 all-in CAC — every referral pays back inside the first order.
DTC telehealth brand. Built a Customer.io lifecycle program from zero — hit 16.6% of company-wide revenue in 34 days, beating the 14% target. $98.2K attributed with conservative measurement.
$4.86 returned for every $1 invested across both programs. All-in CAC of $103 includes the full $100 reward per referral — and still lands well below paid acquisition.
